Document Manager: link files from SharePoint, OneDrive, and Google Drive
The Document Manager now allows you to link external files via their URL. If a document already lives in your corporate repository, you link it and it behaves like a GlobalSuite® document: no uploading a copy and no double maintenance.
Until now, using a document from the customer’s repository in GlobalSuite® meant duplicating it. Over time, that copy and the original drift apart: outdated versions, inconsistencies, and uncertainty about which one is the right one. By linking the file, you keep a single source of truth.
SharePoint
Document libraries and team sites in Microsoft SharePoint.
OneDrive
Personal or team files hosted in Microsoft OneDrive.
Google Drive
Documents and folders in your corporate Google Drive.
Other sources
Any other URL, for repositories or content managers not included in the list.
Supported sources are enabled per company in Settings > General Settings > Document Manager Settings. The new Link external file option appears in the Document Manager New menu for users with document creation permission.
The linked file behaves like a native one
- It integrates into the folder structure and respects GlobalSuite® permissions.
- It participates in document approval and rejection workflows.
- It is associated with evidence, plans, and the rest of the product, just like an uploaded document.
- It shows its source icon and supports tags, favourites, and the recycle bin.
- Its preview and opening take place in a new browser tab.
- It is recorded in the log and included in the company backup.
A single current document
The original stays in the corporate repository and GlobalSuite® points to it. There is nothing to sync.
Governance in GlobalSuite®
Permissions, workflows, and associations are managed in the tool, without relying on the external system’s permissions.
Fewer obsolete versions
Double maintenance disappears and, with it, the risk of working on an old copy.
Your brand in the interface: corporate colour customisation
GlobalSuite® already allowed you to upload your logo. Now you can also adapt the interface colours to your corporate identity, and the platform automatically adjusts text colours to maintain contrast and readability.
Logo and colours are unified in the new Customise tab (Settings > General Settings > Customise). The resulting theme applies across the company’s entire interface: menus, modules, and components.
Define your colours
Primary colour and secondary colour, with a visual picker or hexadecimal value. The logo is configured in the same place.
The rest is derived automatically
The platform automatically assigns hover, focus, selected, menu text, and CTA colours based on the base colours.
Check contrast
Real-time WCAG 2.2 AA accessibility validation, with a Fix action that adjusts combinations that do not comply.
Preview and save
Real-time component preview before saving, with Save brand and Restore default colours always at hand.
Customising the interface should not come at the cost of readability. That is why contrast calculation is automatic and validated against WCAG 2.2 AA: each company configures its visual identity from within the product itself, with no custom development and without leaving illegible text along the way.
Complete Elements, Risks, and Controls reports
Elements, Risks, and Controls reports are no longer limited to a single item. Now you can export all visible information in one go from the Inventory and Risk Analysis lists, with the full scope of an analysis and keeping the same fields and variables you already had configured.

- No Excel output to work with the data afterwards.
Now
- A single report with all items in the list or analysis.
- Full risk analysis scope in a single export.
- Reusable templates, configured once in Settings.
- Output in Word and Excel, depending on what you need to do next.
In Settings > Templates > Reports, the Download template option includes predefined Word and Excel templates for the Elements, Risks, and Controls list and for those exceeding the NRA. You download the base, adjust headers and variables to your format, and upload it again: there is no need to build the document from scratch.

Frequently asked questions
If I link an external file, do I depend on SharePoint or Google Drive permissions?
Document governance within the tool—permissions, approval workflows, associations to evidence and plans—is managed in GlobalSuite®. The file continues to live in your corporate repository, which maintains its own access control at the moment it is opened.
Which sources can I link, and who enables them?
Microsoft SharePoint, Microsoft OneDrive, Google Drive, and Other (free URL, for any other repository or content manager). Supported sources are configured per company in Settings > General Settings > Document Manager Settings, and the linking option only appears for users with document creation permission.
Can corporate colours make text illegible?
No. WCAG 2.2 AA validation is real time, and the Fix action automatically adjusts combinations that do not meet contrast requirements. You also have a preview before saving and the option to restore default colours.
Do I need to redo my current report templates?
No. Templates for bulk export keep the same fields and variables you already used in single-item reports. You can keep using the ones you have and add the new ones whenever you want to export a full list.
What is the NRA, and why is there a specific template?
The NRA is the Acceptable Risk Level defined by your organisation. The exceed NRA template exports only the elements, risks, and controls that are above that threshold: the short list on which a treatment decision must be made.
How do I access these new features?
